What to put in the first message

The difference between a useful reply and three rounds of questions is about five lines. If you can cover these, the first answer back will contain an approach and a range rather than a request for a call.

  • What you sell, and to whom — direct guests, agents, corporate buyers, or a mix.
  • What you run on today: the website, the booking system if any, where availability actually lives, and how payments are taken.
  • What is breaking, or what you want to be able to do that you cannot do now.
  • The date that matters and why it matters — a season, a contract, a trade show.
  • A budget range, even a rough one. It is not a negotiating position, it decides whether we propose a platform or a build.
  • Who makes the decision, and whether they have seen the brief.
What you get back

A written reply with what we would do, what we would not do in the first phase, roughly what it costs and roughly how long. If we are the wrong supplier, that answer instead, with a reason.

These are what we keep to rather than a service level we have sold you. Where a response commitment is contractual, it is written into that project's maintenance agreement, and the security page explains why we publish no numeric guarantee here.

GMT+7, and what it means if you are not here

The team works Monday to Friday in Hanoi, GMT+7. In practice: our afternoon is the European morning, so a message sent from Paris or London before lunch is usually answered the same day. From North America the overlap runs the other way — send in your afternoon and the reply is waiting when you wake up.

Most of our work with clients abroad happens in writing for exactly that reason, and it produces a better record than a call anyone half-remembers. When a conversation is genuinely faster, we schedule early morning or late evening Hanoi time to meet you, and we come to it having read what you sent.

How we will not contact you

Worth stating, because the industry is noisy.

  • No cold sales calls. If you did not write to us, we will not phone you.
  • No purchased contact lists. Nobody here buys a spreadsheet of tour operators.
  • We never sell, rent or share your contact details with a partner. Enquiry data stays with us and with the client it concerns.
  • Sending an enquiry does not sign you up to anything. There is no newsletter waiting behind the form, and no drip sequence if you decide not to proceed.
  • One follow-up. If we send a proposal and hear nothing, we check in once and then leave you alone until you come back.

What travel operators ask us most

Can we just have a call instead of writing all that?

Yes, and we will schedule one. We still ask for a few lines beforehand, because a call where we learn the basics is a call that ends with us promising to send something later.

With the background in hand, one call is usually enough to reach a scope.

Do you charge for the first conversation?

No. The first exchange, a call and a written approach with a price range cost you nothing.

Paid work starts at discovery on larger projects, or at a code assessment when we are asked to take over something already built, because those are real work.

We are outside Vietnam. Can you still invoice us?

Yes. Invoicing is handled from Hanoi in USD or VND, and international payment is routine for us.

Tax and contracting details are confirmed in the quotation before anything starts.

Which language should we write in?

English or Vietnamese, whichever you are more precise in. Both are working languages here and neither gets a slower reply.

Project documents are produced in the language your decision-makers read, and sometimes in both.
